Missing Users in the Users List (Admin)

Summary

After a Jama Connect upgrade, restore, or data migration, the list of users may not populate correctly, even though the user records exist in the database. This is typically caused by missing or outdated Elasticsearch indexes.

This situation can occur if a full reindex was not performed or did not complete successfully. Note that a full reindex is a required post-deployment task following a Jama Connect installation, upgrade, restore, or migration.

Reindexing rebuilds all search indexes so they accurately reflect the current data stored in the database. This ensures that search results, user lists, filters, and other indexed data function correctly after significant system changes.

Resolution

Perform a full reindex from the root menu. You must be logged in as the root user (System Administrator permissions are required). 

Accessing the root account when SSO is enabled

If SSO is enabled, to sign in using the root account, browse to:

  • https://<your-jama-url>/lcasper/login.req 
  • Replace <your-jama-url> with your Jama Connect Base URL.

This bypasses the SSO login page and allows you to authenticate with the local root account, which is required to perform administrative tasks such as a full reindex.

Steps to perform a Full Reindex:

3. Log in to Jama Connect as the root user.


4. Navigate to Index/Search tab.


5. Select Index Items.


6. Review the estimated number of items and expected completion time.


7. Select Yes to begin.

Once the process completes:

  • All search indexes are rebuilt from the current database contents.
  • A completion message is displayed.

Note: Organization Administrators and Project Administrators can reindex project items but cannot perform the full reindex of all search items.
