How to Audit a User Account and Review Usage Activity

Summary

This article explains how to audit a Jama user account to understand its origin and purpose (for example, identifying duplicate accounts, service accounts, or external user accounts). Administrators can review login activity and event data to determine how and when an account has been used.

Jama provides a community report that helps retrieve this information, however, login activity data is limited to six months. If the account was created before that period, additional investigation methods may be required. 

Resolution

Use the Org Admin activity search for quick checks

For punctual clarification, administrators can use the Organization Admin Activities search in Jama to review recent user-related events. This can help quickly confirm actions such as user creation, updates, or other administrative activities.

Run the User Login Activity and Event Report

Use the User Login Activity and Event Report available in the Jama Community Reports repository.

Run this report to review login activity and user-related events. This helps determine when the account was used and may provide clues about why it exists. 

This report is provided as-is. Login activity data is available for a maximum of six months. If the user account was created earlier than that timeframe, the report may not include all the relevant events.

Retrieve historical user information

If the account predates the six-month reporting window and the request is a one-time investigation:

  • For Jama Cloud instances, contact Jama Support to request assistance retrieving the data.
  • For self-hosted instances, administrators can query the database to retrieve the relevant information.

For recurring audit needs

If user account audits are expected to occur regularly, consider creating a custom report to retrieve information for specific user accounts and potentially cover longer time periods.
