Summary

Prepare Jama Connect® for your users by aligning the platform with your engineering processes, training administrators, configuring your environment, importing existing content, establishing integrations, defining permissions, and preparing end-user training.

The Set phase builds on the goals, team structure, plans, and process materials established during the Ready phase. During this phase, your Core Team moves from planning to implementation by defining how your processes will work in Jama Connect and preparing the system for go-live.

Complete the Set Phase Checklist

Before moving to the Go phase, confirm that:

  • Jama Connect Administrators and applicable Integration Administrators are trained.
  • Jama Connect is configured and aligned with your defined processes.
  • Required content has been imported, and the configuration has been validated.
  • Required integrations are configured and tested.
  • User groups and permissions are configured.
  • The system is ready for users.
  • End-user training materials and resources are prepared.

Analyze the Process with the Jama Connect® Framework

Objective: Define the processes and activities that are in scope for Jama Connect and identify gaps between your organization's process requirements and the standard Jama Connect configuration.

Actions:

  • Have Core Team members attend Jama Connect 101 training to become familiar with Jama Connect capabilities.
  • Review the process materials gathered during the Ready phase.
  • Document the process areas that are in scope for your Jama Connect deployment.
  • Determine how those processes can be supported in Jama Connect.
  • Identify gaps between your process requirements and the preconfigured Jama Connect data model, including content types, fields, attributes, relationships, and workflows.
  • Document configuration decisions and any areas that require additional analysis.

Train the Jama Connect® Administrator

Objective: Prepare Jama Connect Administrators to configure and support your organization's Jama Connect environment.

Actions:

  • Identify the individuals who will administer Jama Connect.
  • Have Jama Connect Administrators complete Organizational Administration training.
  • Ensure administrators understand the configuration decisions established during process analysis.
  • Whenever possible, train more than one administrator to provide backup coverage and continuity.

Configure Jama Connect®

Objective: Configure Jama Connect to support your organization's defined processes and reporting needs.

Actions:

  • Have the Jama Connect Administrator configure the system based on the decisions made during process analysis.
  • Have the Jama Connect Administrator and Core Team collaborate to develop a project template or initial project structure.
  • Configure the content types, fields, relationships, and other settings required by your processes.
  • Create the exports needed to generate documents from Jama Connect.
  • Review the configuration with the Core Team and adjust it as needed.

Import Existing Content & Check Configuration

Objective: Bring applicable content from legacy systems into Jama Connect and verify that your configuration supports your organization's data and process requirements.

Actions:

  • Identify the existing content that is in scope for migration.
  • Prepare the content for import into Jama Connect.
  • Import the content.
  • Verify that the imported information is correctly organized and supported by your Jama Connect configuration.
  • Confirm that required relationships and attributes are represented appropriately.
  • Adjust the configuration as needed based on findings from the import.
  • Repeat validation as necessary before finalizing the configuration.

Configure and Test Integration(s)

Objective: Establish traceability across your product development ecosystem while enabling teams to work in the systems appropriate for their roles and processes.

Actions:

  • Identify the systems and data that need to integrate with Jama Connect.
  • Confirm which system should own the applicable data.
  • Configure the appropriate integration tool to exchange data between Jama Connect and the integrated system.
  • Use a sandbox project or environment to test the integration before deploying it to production.
  • Validate data synchronization, mappings, relationships, and expected workflows.
  • Address configuration or process issues identified during testing.

Configure User Groups & Permissions

Objective: Establish appropriate access to Jama Connect by creating user groups and assigning permissions.

Actions:

  • Identify the user groups needed to support your organization's roles and processes.
  • Configure user groups in Jama Connect.
  • Assign the appropriate permissions to each group.
  • Add users to the applicable groups so they inherit the appropriate permissions.
  • Validate access before introducing users to the system.

Whenever possible, manage permissions through groups rather than individual users to simplify ongoing administration.

Prepare for End-User Training

Objective: Prepare training materials and resources and ensure Jama Connect is ready for users.

Actions:

  • Review the goals established during the Ready phase and the processes defined during the Set phase.
  • Identify the Jama Connect activities each user role needs to perform.
  • Organize training content around user roles and key activities.
  • Prepare Jama Software-provided training resources or plan for users to attend Jama Connect 101 sessions.
  • Develop organization-specific training materials where needed.
  • Add users to Jama Connect and assign them to the appropriate groups.
  • If applicable, connect Jama Connect to your organization's Identity Provider (IdP).
  • Confirm that users can access the system and the resources required for training.
