Users Without Organization Emails Are Not Getting The Items In The Reviews

Summary

In Jama Connect®, some users (commonly users invited to a review by email who are not members of any group with project access) can view and participate in a review in the browser, but when they export the review to PDF the export is missing the “Items Reviewed” content (appears empty). This behavior was observed as new in Jama Connect® 9.35.x and later.

Symptoms

  • A reviewer can open the review and add comments, but Export to PDF produces a PDF that includes only non-item content (for example, cover/table of contents) and the Items Reviewed section is empty.
  • Another user (for example, the review creator or an org user with project permissions) can export the same review and the PDF includes items as expected.

Cause

This is permissions-related: if the exporting user does not have permission to the underlying project/items included in the review, the export may omit the reviewed items.

Jama has an open defect filed for this behavior: SOS-DEF-9623.

Resolution

Diagnosing the Issue

  1. Confirm the issue is reproducible for the affected user:
    • Log in as the affected user and export the review to PDF.
    • Verify the PDF’s Items Reviewed section is empty.
  2. Confirm whether the affected user has project permissions:
    • Ask an org admin to check whether the user is a member of any group that grants access to the project associated with the review.
    • This issue is commonly seen when the user was invited by email to participate in the review and was not otherwise granted project permissions.

Workaround: Grant the Exporting User Read Access to the Project

Have an Organization Admin grant the affected user Read Only access to the project associated with the review:

  1. Log in as an Organization Admin.
  2. Go to Admin > Permissions.
  3. Select the project associated with the review.
  4. Click Add permissions.
  5. In the popup, select the User tab.
  6. Find and add the user who was invited by email.
  7. Select Read only access and click Save.
  8. Log back in as the affected user and re-run the Export to PDF from the review.

Expected result: the exported PDF now includes the items under Items Reviewed.

Notes / Expected Behavior Considerations

  • Inviting someone to a review can grant them access to review content, even if they don’t otherwise have permission to the underlying items.
  • Organization settings related to review visibility and access can affect who can see public reviews and whether moderators can invite users outside their project. Review your org’s review access configuration if behavior varies across users/projects.
