Build your Jama Connect® onboarding Core Team by identifying the people responsible for leading, supporting, administering, and implementing your deployment. Clearly defined roles and responsibilities help ensure that the appropriate stakeholders are involved, decisions are made efficiently, and team members understand how they will contribute throughout the onboarding process.
This article also includes a Sample Project Plan with a structured list of tasks to help your team plan, assign, track, and manage onboarding activities.
Depending on your organization's size, resources, deployment scope, and implementation needs, one individual may fill multiple Core Team roles. Some roles apply only to specific deployment scenarios, such as integrations or self-hosted environments.

Build Your Core Team
Identify the people who will support your Jama Connect implementation and assign the appropriate roles and responsibilities.
Your Core Team should include individuals who can represent business and process needs, make decisions, manage implementation activities, and support the ongoing administration and adoption of Jama Connect.
Depending on your deployment, your Core Team may include the following roles.
Implementation Lead
The Implementation Lead manages the day-to-day implementation of Jama Connect within your organization.
This individual should understand your organization's processes and help coordinate the integration of Jama Connect into them. The Implementation Lead should also have sufficient authority to make project-level decisions that keep onboarding moving forward.
Responsibilities include:
- Coordinating implementation resources and activities.
- Scheduling and leading meetings.
- Facilitating communication and decisions.
- Communicating issues or concerns to Jama Software®.
- Making project-level decisions.
Estimated time commitment: 5–7 hours
Business/Executive Sponsor
The Business/Executive Sponsor is accountable for Jama Connect's success within the organization and helps ensure that the implementation aligns with strategic goals and business objectives.
The Sponsor should have the authority to support recommended organizational or process changes that may arise during onboarding.
Responsibilities include:
- Providing executive sponsorship and support.
- Reinforcing the goals and value of the implementation.
- Helping remove organizational barriers.
- Supporting process changes when necessary.
Estimated time commitment: 1–2 hours
Subject Matter Experts (SMEs)
Subject Matter Experts (SMEs) help define how Jama Connect will support your organization's processes and goals.
SMEs should understand the processes associated with the implementation and represent the teams that will use or be affected by Jama Connect.
Responsibilities include:
- Representing business and process needs.
- Providing expertise about existing and desired processes.
- Participating in process analysis and configuration decisions.
- Representing the needs of impacted teams.
- Supporting decisions about how Jama Connect will be used.
SMEs should have sufficient time to participate in onboarding activities and support from their management, particularly during the early stages of implementation.

Jama Connect® Administrator
The Jama Connect Administrator is responsible for learning how to configure and administer your Jama Connect instance.
Whenever possible, identify and train more than one administrator to provide backup coverage and continuity.
Responsibilities include:
- Configuring Jama Connect using administrative functions.
- Managing ongoing configuration and administration.
- Understanding the impact of configuration changes.
- Implementing approved configuration changes.
- Developing expertise to support Jama Connect users.
This role does not require extensive technical expertise because administration is performed within the Jama Connect user interface. However, administrators should understand your organization's business processes to evaluate how configuration decisions may affect them.
Estimated time commitment: 5–7 hours
Integration Tool Administrator
If Jama Connect will be integrated with another system via a third-party integration solution, identify an Integration Tool Administrator to manage the integration tool's configuration and administration.
This role helps coordinate integration setup and ensures the integration configuration supports the intended business process.
Estimated time commitment: 2–4 hours during integration setup
Administrator for the Integrated System
If Jama Connect will be integrated with another system, identify an administrator for that system.
This administrator should understand how integration-related configuration requests may affect the integrated system and have the appropriate access and authority to implement necessary changes.
Estimated time commitment: 1–2 hours during integration setup
IT/System Administrator
For organizations deploying Jama Connect in a self-hosted environment, the IT/System Administrator is responsible for infrastructure and system administration activities associated with Jama Connect.
Responsibilities may include:
- Initial installation.
- System and environment setup.
- Ongoing system administration.
This role typically becomes less involved after the initial installation and setup are complete.
Estimated time commitment: 2–5 hours, with less involvement after installation
Review Roles and Responsibilities
Review the Core Team structure with the individuals involved and confirm that each person understands their responsibilities, decision-making authority, and expected level of participation.
A single individual may fill multiple roles. Your Core Team structure should reflect your organization's deployment scope, available resources, integrations, hosting model, and implementation goals.
