Configuring Advanced Reuse Rules for Selective Field Reuse

Use Case

In Jama Connect reusing items in another project can provide significant efficiency gains. For example, you may have System Requirements and their test cases that are applicable across multiple projects within your organization. However, some reused items might also contain fields that contain project-specific information that should be managed at the project level.

For example, you may not want to retain the Workflow Status of Accepted when reusing items. What was accepted in one project may involve new stakeholders or team members in another project who need to review and accept the reused items independently, even if they were previously approved elsewhere.

The Advanced Reuse Option allows you to configure specific reuse rules to support this scenario, such as excluding selected fields during reuse.

Best Practice

When reusing individual items or containers of items (such as components, sets, or folders), you can create rules specific to the item type and configure which fields and widgets are included during reuse.

If your items use a workflow status, excluding the Workflow Status field can allow new stakeholders to review and accept the items independently in the context of the new project. This approach can be applied not only to Workflow Status, but to any field that should not carry over during reuse.

Implementation

  1. Navigate to the item or container of items you want to reuse.
  2. Right-click and select Reuse Item(s).
  3. In the Reuse Items window, click Advanced and select Add Rule.
  4. Enter a name for the reuse rule, optionally add a description, and select Add Item Type Rule.
  5. For this use case, select System Requirement (this approach is applicable to other item types as well). Scroll down to Fields to Copy and click Configure.
  6. Select Select Individual Fields, then manually select the fields you want to retain. For this use case, exclude Workflow Status, and select Done.

  7. Click Save.
  8. Back in the Reuse Options window, select the newly created rule, choose the target destination, and select Reuse.
